Scope of Work
The primary role involves providing professional business operations support across several key areas:
- Executive and Business Operations Support: Assisting senior leadership with calendar management, meeting coordination, action-item tracking, briefing book creation, communication handling, and logistical support.
- Front Desk Support: Managing office calendars, planning/coordinating meetings and events, handling mail and phone inquiries, maintaining records, managing office supplies, and tracking administrative budgets.
- Communications Support: Creating, editing, and proofreading correspondence, reports, and presentations; managing document control systems; and coordinating information flow.
- Travel Support: Arranging travel, managing travel authorizations and vouchers, and coordinating conference attendance.
- Special Projects: Providing ad hoc support for functions like grant development, oversight, technical assistance, and process improvements.
Key personnel are expected to have a minimum of five years of business operations support experience, including supporting senior-level managers without day-to-day direction. Proficiency in Microsoft 365 and Google Workspace, strong communication skills, and attention to detail are essential.
