Scope of Work
The selected contractor will provide light refreshments, floral arrangements, staff, food, utensils, labor, and necessary equipment. Key requirements include maintaining a safe, clean, and healthy environment, using fresh ingredients, and ensuring proper food temperatures. The contractor must transport all food and equipment, as no cooking or storage facilities are provided on-site. DOT will provide indoor space, electricity, a small conference room, and restrooms.

- Event Details: Special Awardee Recognition (approx. 50 people) and a reception (800-950 individuals).
- Table Arrangements: Four 6-foot rectangular tables for the small reception, 22 6-foot rectangular tables for the main reception, and ten 8-foot round tables with 120-inch tablecloths. DOT will provide table skirts.
- Food Service: Separate stations for food and beverages. Passed hors d'oeuvres will be served only in the large reception area. Food must be wholesome, attractive, and correct in temperature, color, taste, and consistency. Food must go through security.
- Floral: Large white floral arrangements for the West Atrium stage, large centerpieces and one-sided arrangements for the East Atrium, and fresh flowers for the small reception.
- Staffing: A District of Columbia-licensed food service manager must be onsite. All contractor staff involved in obtaining, cooking, preparing, or transporting food and beverages require food handler or equivalent certifications.
- Fire Safety: Strict Fire Safety Procedures for Sterno Chafing Fuels, including approved fuel types (ethanol gel), 3-foot clearance from combustibles, proper ignition/extinguishing, disposal, monitoring, stationary use, and fire suppression (two ABC-type extinguishers within 10 feet). Contractor staff must attend fire extinguisher training.
- Logistics: Access to one loading dock bay (42 inches high). Vehicle and driver information must be provided five business days prior, and an escort is required at all times inside the DOT building. Staff entry is via the 4th Street entrance, drivers via the loading dock.
