Scope of Work
The contractor will provide a facility and services for approximately 45 attendees. Key requirements include:
- Primary Event Room: One room configured in a horseshoe style, seating a minimum of 45 attendees, with full audio/visual capabilities.
- Breakout Rooms: Three separate rooms, each seating a minimum of 15 attendees, located near the primary room, also with audio/visual capabilities.
- Audio/Visual Equipment: Projectors, screens, standardized audio/visual connection support (e.g., HDMI), cordless microphones, an integrated speaker system, and podiums. Continuous on-site technical support for AV equipment is required Monday through Friday, 0700 to 1630.
- Internet Access: Reliable, high-speed Wi-Fi internet access for all 45 attendees in both the primary and breakout rooms.
- Parking: Ample, on-site parking for a minimum of 45 attendees, provided at no additional cost to the government or individuals.
- On-site Facility: Access to an on-site café, restaurant, or other facility for attendees to purchase lunch.
- Accommodation: Guest sleeping rooms will be paid individually by attendees using Government Travel Charge Cards. A room block is only required for those attendees needing overnight accommodation, not for local commuters.
