Scope of Work
The contractor shall provide all necessary personnel, equipment, tools, materials, supervision, and quality control to perform HVAC Preventative Maintenance Services. This includes annual preventative maintenance tasks for various HVAC systems, such as Split Systems, Mini-Split and VRF Systems, Make-Up Air and Exhaust Systems, Walk-In Coolers and Freezers, and Fire Alarm Control Panels. Tasks involve inspection, cleaning, lubrication, component testing, refrigerant charge verification, and performance evaluation. The contractor is also responsible for HVAC Asset Management, including verifying, affixing, and correcting asset tags and unit labels, and performance monitoring and trend tracking of key operating parameters.

Performance Standards
Service reports must be provided within five business days of each preventative maintenance visit. These reports should include asset verification status, recorded measurements, trend data, identified deficiencies, and recommended repairs. For identified repairs, the contractor must provide a written estimate for parts and labor, requiring COR approval before proceeding. Performance will be evaluated against ANSI/ASHRAE/ACCA Standard 180.
Special Requirements
Contractor employees must comply with all installation access, security, and identification requirements, including AT Level 1, iWATCH, and OPSEC training. Employees must possess all required licenses and certifications for equipment operation. The contractor shall designate a Contract Manager (CM) with full authority to act on contract matters. Contractor personnel must clearly identify themselves as contractors. Government Furnished Property is not provided; the contractor must furnish all necessary property, materials, and equipment. The contractor must not perform services that would void warranties on newly installed or recently accepted equipment.
