Scope of Work
The contractor will provide comprehensive logistical support, including:
- Meeting Preparation: Taking notes, recording minutes, preparing materials (name badges, table tents, binders, posters, CDs).
- Event Coordination: Locating and securing meeting rooms, facilitating satisfaction surveys, coordinating hotel arrangements and travel, providing and setting up audio/visual (AV) equipment.
- Planning & Execution: Assisting with conference planning and execution, monitoring progress, and addressing issues.
Key Requirements / Deliverables
- Qualified personnel in labor categories: Program Manager, Senior Meeting Planner/Event Facilitator, Event Planner, Meeting Registrar/Admin Support Specialist.
- Materials completed prior to meetings/conferences.
- Hotel/conference sites booked at least six months in advance.

Submission Requirements
Interested vendors must submit a capabilities package electronically via email to crystal.zorich@dot.gov and teddy.cosia.ctr@dot.gov with the subject line "Sources Sought: FTA Logistical Support Services". The package must be in Microsoft Office Word, Times New Roman 12 Font, not exceeding 5 pages, and include:
- Anticipated Labor Categories and Staffing expectations, with descriptions of qualifications and capabilities.
- Description of how the company would accommodate uncertain meeting/conference numbers and expectations from FTA.
- Discussion of any perceived gaps in the Statement of Objectives (SOO) or areas needing greater detail for a future Request for Proposal.
- Company's legal name, NAICS code, CAGE code, and business size under the NAICS code.
