The Department of the Air Force (AFLCMC/ES and AFLCMC/PZI) is conducting market research through this Sources Sought (RFI) for a contractor to provide comprehensive maintenance, support, and modernization for a mission-critical Video Teleconferencing (VTC) and Audio/Visual (A/V) system at Hanscom AFB, MA. This system supports both classified (SIPR) and unclassified (NIPR) operations in a conference room environment. Responses are requested in the form of a Letter of Interest and capabilities statement.
Scope of Work
The government seeks continuous and reliable operation of a single conference room A/V system. Key responsibilities include:
- System Maintenance: Semi-annual preventative maintenance, on-call remote support (1-hour response M-F, 0800-1800 ET), and on-site support within one business day.
- Hardware Modernization: Evaluating, replacing, and upgrading components such as cameras (e.g., CISCO to HD PTZ), VTC CODECs (to modern IP-based/VoIP), operator displays (32in to two larger monitors), and a rack-mounted UPS (to Smart Online Double Conversion). The contractor is responsible for purchasing all equipment.
- System Integration: Installing, programming, and integrating new hardware, including a secure white noise system and enhanced SIPR Teams laptop connectivity.
- Compliance & Documentation: Ensuring adherence to DISA STIGs, GVS comparability, DISA APL, JITC approval, and providing complete system documentation, uncompiled CRESTRON source code, and signal flow diagrams. No prohibited wireless technologies are allowed.
- Training: Provide training for at least two government individuals.
- Warranty: One-year warranty on all installed equipment and systems.
