Venue and Support for the 2026 Sergeant Major of the Marine Corps Symposium

Statement of Work (SOW) / Performance Work Statement (PWS)

To secure a venue for the 2026 Sergeant Major of the Marine Corps Summit and Symposium (SMMCS), an annual event for senior enlisted leaders and their spouses to discuss policy and Marine Corps issues.

• General Session Space: One large ballroom to accommodate up to 106 people with crescent rounds.

• Spouse Session Space: One ballroom to accommodate up to 30 people with crescent rounds.

• Operations Center: One room for approximately 10 people, equipped with 4 six-foot rectangle tables, power for 10 computers, an IT switch, and a multifunction device (copier/printer/scanner/fax).

• Breakout Rooms: Three rooms, each to hold approximately 25 people.

• SMMC Office: One dedicated office space.

• Green Room: One room to host guest speakers.

• Audio/Visual (A/V): Provision of 3 LCD projectors, necessary A/V connectors, LAN and WiFi connections, podiums for General and Spouse sessions, microphones (including wireless lavaliers), and laser pointers.

• Setup: All spaces must be set up by the afternoon of Monday, July 20, 2026.

• Period of Performance: July 21-24, 2026 (with setup on July 20, 2026).

• Place of Performance: Within 25 miles of one of the three major airports in the Washington, DC metropolitan area. The location should be far enough from Washington, DC for focus but accessible in emergencies.

• The venue must be accessible for attendees to return quickly in case of emergency.

• Proximity to one of the three major airports in the region is required.

Solicitation / RFP / RFQ

This is a combined synopsis/solicitation for commercial items, issued as a Request for Quotation (RFQ) under FAR Part 13 procedures. The government is seeking quotations for services related to the "2026 SgtMaj of the Marine Corps Symposium." This opportunity is a 100% Small Business Set-Aside.

• Conference Room and Audio-Visual Packages for the dates 20-24 July 2026.

• Meeting Spaces:

  • One ballroom for a General Session (up to 106 people, crescent-style seating).
  • One ballroom for a Spouse Session (up to 30 people, crescent-style seating).
  • Three breakout rooms (approx. 25 people each).
  • One Operations Center (approx. 10 people) with specific equipment (tables, outlets, IT Switch, multifunction device).
  • One private office for the SMMC.
  • One green room for guest speakers.

• Audio-Visual & Technical Support:

  • Three LCD projectors with A/V connectors and laser pointers.
  • Podiums for General and Spouse Session ballrooms.
  • Microphones (including wireless lavalier) for ballrooms.
  • Reliable LAN and WiFi connections for all event spaces.

• Services & Coordination: Full setup and operational readiness by the afternoon of Monday, 20 July 2026.

• Location: Venue must be within 25 miles of one of the three major airports in the Washington, DC metropolitan area.

• Contract Type: Firm Fixed Price (FFP) Purchase Order.

• Period of Performance: Delivery required between 20-24 July 2026.

• Questions Due: 26 May 2026 at 4:00 PM (Eastern Time).

• Quotations Due: 27 May 2026 at 4:00 PM (Eastern Time).

• Evaluation: Best Value based on PRICE AND OTHER FACTORS. Quotations will be evaluated for conformance, sorted by price, and a comparative evaluation will be performed. Award will be made to the responsible quoter whose quotation is most advantageous. Past performance and fair & reasonable price are also factors.
