This document is a Request for Quote (RFQ) for Work Bench Stations for the Buffalo VA Medical Center. The Department of Veterans Affairs, Network Contracting Office 2, is seeking to procure five (5) custom motorized workstations to replace existing ones that are beyond economical repair, non-ergonomic, and have safety defects.

• Workstations: Must be custom motorized with adjustable height (27”-42” range), stainless steel over inverted plastic laminate work surface (72" x 30"), ample drawers and shelves for storage, a large rubber floor mat, and lockable casters.

• Power & Lighting: Must include power rails with outlets and overhead LED lighting.

• Accessories: Requires Nexus framing posts for vertical integration of accessories, Nexus Extended Rear-Mount Frames, Nexus adjustable shelves, Nexus power rails, Nexus markerboard/tackboard, Nexus plastic box rail, Nexus accessory shelves, Nexus accessory shelf ribbed rubber mat, Nexus label/roll holder, Luxo LED Mag Light, mounting bracket for task light, flat panel monitor holder with keyboard & mouse, and universal brackets.

• Assembly & Installation: Factory assembly of the bench from the worksurface down is required. Vendor must provide complete information sheets, product features brochures, installation and operation manuals, product specifications with a picture of the cabinet unit, and Instructions For Use (IFU) for cleaning and maintenance.

• Service: A local Equipment Service Technician (within 75 miles) is required. A walkthrough with VA Facility and Engineering is mandatory before approval due to utility needs. Training of SPS staff is also mandatory.

• Warranty: A minimum of a one-year warranty for parts and labor is required.

• Contract Type: Firm-Fixed-Price.

• Delivery: FOB Destination to Buffalo VA Medical Center, 3495 Bailey Avenue, Buffalo, NY 14215.

• Submission: Offerors must complete the Price/Cost Schedule, provide a separate quote with part numbers, and sign sections 30a, 30b, & 30c of the SF 1449. A delivery date and an authorized distribution memo/letter must be provided with the bid response.

• Evaluation: Quotations will be evaluated based on Technical, Past Performance, and Price. The Government may award to the offeror whose quote is most advantageous, not necessarily the lowest price.

• Deadline: Offer Due Date is June 9, 2026, at 12:00 PM EDT.

• This acquisition is unrestricted.

• FAR 52.212-1, 52.212-4, and 52.212-5 are incorporated by reference. FAR 52.212-3 and 52.212-5 are attached.

• Payment will be made via Electronic Funds Transfer (EFT).

• Invoices are to be submitted upon delivery and acceptance.

This Request for Quote (RFQ) is for the procurement of custom motorized workstations for the Buffalo VA Medical Center. The existing work benches are beyond economical repair, non-ergonomic, and have safety defects, necessitating their replacement.

• Five (5) custom motorized workstations.

• Workstations must feature adjustable motorized tables for height adjustments, power rails with outlets, and overhead lighting.

• Specific technical requirements include: multiple shelves and counters, ample drawers and shelves for storage, a large rubber floor mat, lockable casters, a roll holder, and a local Equipment Service Technician within 75 miles.

• Vendor must provide complete information sheets, product brochures, installation and operation manuals, product specifications with pictures, and Instructions For Use (IFU) for cleaning and maintenance.

• Workstations must be adjustable or repairable by a VA Biomed technician.

• A minimum one-year warranty for parts and labor is required.

• Specialized requirements include: low voltage dual actuator controller, three height presets, 1,000 lbs. static and dynamic load capacity, height range of 27”-42”, 5” diameter casters (325 lb. capacity each), a 16” deep bottom shelf (150 lb. capacity), stainless steel over inverted plastic laminate worksurface, Nexus extended rear-mount frames, Nexus framing posts, overhead LED lights, adjustable shelves (100 lb. capacity), roll holders (100 lb. capacity), accessory shelf (75 lb. capacity), reversible markerboard/tackboards (36”w x 30”h), horizontal power rails (6-plug), 36”w plastic box rails, KFM LED lights (45" arm), flat panel monitor holder with articulating double arm, and a wooden skeleton crate for shipping.

• Workstations must be a specific color: Bright blue.

• Vendor must provide a local Equipment Service Technician within 75 miles.

• A walkthrough with VA Facility and Engineering is required before vendor consideration.

• Training of SPS staff on operational and user needs is mandatory.

• Contract Type: Firm-Fixed-Price.

• Place of Performance: Buffalo VAMC.

• Delivery Date: All items to be delivered by 9/30/2026.

• Offerors must complete the Price / Cost Schedule, provide a separate quote with part numbers, and sign sections 30a, 30b, & 30c of the SF 1449.

• A delivery date and an authorized distribution memo/letter must be provided with the quote.

• Questions must be submitted by June 3rd at 12 PM.

• Evaluation will be based on Technical, Past Performance, and Price.

Sources Sought Notice

This notice is issued by the Department of Veterans Affairs, Stratton VA Medical Center, for market research purposes. The agency is seeking to identify domestic sources or equivalent products capable of providing "Work Bench Stations." The feedback received will help determine the acquisition strategy for a potential future acquisition.

Potential contractors are invited to provide the following:
