This Total Small Business Set-Aside opportunity requires a hotel to provide guestrooms, catering, and conference space for 100 soldiers and their families. Proposals are due by April 1, 2026.
Objective
The primary objective is to provide a safe environment for participants and their families to foster self-awareness, share experiences, and learn principles to enhance relationships during the SR2T event.
Scope of Work
The contractor shall provide lodging, conference space, meals, and free onsite parking. This includes accommodations for up to 60 adults (18+) and 40 children (ages 6mos - 17yrs). Two conference rooms are required: one for training/meals (110 capacity, lecture/classroom style with AV equipment including projector, screen, sound system, microphones, and whiteboard) and one for childcare (30 capacity, classroom style). Nutritious buffet meals (breakfast, lunch, dinner) with non-alcoholic beverages for 70 adults (13+) and 30 children (ages 4-12yrs) must be provided, free of common food allergens. Unlimited coffee, tea, and water are also required during specified event hours. Lodging consists of 25 guest rooms, each with two queen beds, workspace, individually controlled heat/AC, refrigerator, and full bath, maintained in clean and good repair.
Performance Standards
The contractor must develop and maintain a Quality Control Plan (QCP) to ensure all services meet Performance Work Statement (PWS) requirements. Guest rooms must be clean, in good repair, and include fresh, defect-free linens.
Period & Place of Performance
Services are required from April 24-26, 2026 (Friday through Sunday). The facility must be located within 50 miles of Joint Base Lewis-McChord, WA 98433.
Special Requirements
The contractor's facility must include a fitness center. The contractor must designate a primary Point of Contact (POC). The Government POC will coordinate special needs (e.g., handicap accessible rooms, dietary restrictions) with the Contractor POC at least seven days prior to the event. Participants are expected to conduct themselves in an orderly fashion, with incidents of misbehavior reported. Extra services not specified in the PWS are the guest's responsibility.
Submission Instructions
